Don't start searching only when you sell
The practical explanation from Notaris.be dated 17 September 2026 concerns the storage and sharing of documents in Izimi. It is not a new legal obligation. For owners, the housing file is particularly useful: in addition to the deed of purchase, plans, inspections, invoices and information about subsequent works may be important. Those who organise these documents over the years make a future sale better prepared and easier to discuss.
Also consider the post-intervention file when required for your property. This bundles information relevant to the safety of future works. A digital collection of loose invoices does not automatically replace a mandatory file. Which documents are exactly needed depends on the property, the works carried out and the intended transaction.
Storing is different from legally regulating
Placing a document in a digital safe does not automatically make the agreement complete or legally correct. The provider distinguishes between storing documents and notarial certification. Certification confirms, depending on the transaction, for example, the origin of data, conformity with an original or an identity. Therefore, ask what a certificate precisely proves; not every confirmation has the same scope.
Suppose two partners pay for a new kitchen but only one is the owner of the house. An invoice in itself does not prove what repayment they have agreed between themselves. First write down clearly what they mean, have the appropriate legal form assessed, and then keep both the agreement and proof of payment together. The same distinction is useful when parents financially help a child: is it a loan, a gift or another arrangement?
Start with a small, usable organisation
First make an overview of what you already have. Give each file a recognisable name, for example the address, the type of document and the date. Use categories and keywords. The Izimi explanation of 1 September 2026 applies this approach to family documents: uploading a scan or digital version, naming and organising helps to search efficiently later. Keep documents that belong together recognisably together.
Also note what is missing and with whom you really want to share a document. Do not grant wider access than necessary and preserve important original documents when their nature requires it.
